A. Information Provided by Job Seekers & Candidates

• Contact Particulars: Full legal name, residential address, personal email, contact telephone numbers.
• Professional Profiles & Resumes: Curriculum Vitae (CV), employment history, past titles, job descriptions, educational qualifications, professional certifications, portfolio links, and compensation history/expectations.
• Verification Credentials: Government-issued identity numbers (PAN, Aadhaar/Passport references where mandated for background check screening), past employer letters, and academic transcripts.

B. Information Provided by Employer Clients

• Corporate Contacts: Name, work email, official phone number, and designation of hiring managers and procurement coordinators.
• Business Entities: Registered company name, corporate identification numbers (CIN/GSTIN), billing addresses, and job specification parameters.

3. Purpose of Processing

Fairease processes personal and corporate information solely for legitimate business operations:

• Evaluating candidate suitability for specific job openings, contractual assignments, or executive roles.
• Presenting shortlisted candidate profiles and resumes to prospective client organizations with the candidate's explicit consent.
• Executing mandated pre-employment background screening, credential checks, and reference interviews.
• Administering third-party payroll management, statutory labor filings (EPF, ESIC, Professional Tax, TDS), and salary disbursements for deputed associates.
• Complying with applicable labor statutes, court orders, or governmental directives under Indian law.

4. Candidate Resume & BGV Protection

Background verification records, including judicial database checks and educational verifications, are treated as Restricted Confidential Information. They are shared only with the designated HR compliance department of the hiring employer under strict non-disclosure terms.

5. Disclosure & Data Sharing

We do not sell, rent, lease, or trade personal information to commercial third-party marketing brokers. Data is disclosed only to:

• Verified Client Employers: Prospective employers evaluating candidates for verified vacancies.
• Statutory Authorities: Regulatory bodies (EPFO, ESIC, Income Tax Department) for contract staffing compliance.
• Technology Service Providers: Trusted enterprise infrastructure partners (secure mail gateways, encrypted cloud storage) bound by strict confidentiality and security agreements.

6. Storage & Security Controls

Fairease implements robust administrative, technical, and physical safeguards to prevent unauthorized data access, loss, or alteration:

• Cryptographic Protection: Transport Layer Security (TLS 1.3) across all web interactions and AES-256 encryption on stored candidate archives.
• Role-Based Access Control (RBAC): Access to candidate dossiers and client contracts is strictly limited to authorized recruiters on a need-to-know basis.
• Sanitized Temporary Uploads: Resume uploads received via web forms are stored under randomized non-guessable identifiers in an unindexed quarantine directory and scrubbed following processing.

7. Retention & Right to Erasure

Candidate records are retained in our active talent pool for a maximum period of 24 months from the last meaningful interaction to facilitate future career recommendations. If you wish to have your profile updated or permanently removed, you may exercise your Right to Erasure at any time by emailing our Data Protection team at info@fairease.in. Requests are processed within 15 business days.

8. Your Statutory Rights

Under the Digital Personal Data Protection Act (2023), candidates and clients possess the following enforceable rights:

• Right to Summary: Request an itemized summary of personal data held and processed by Fairease.
• Right to Correction & Update: Rectify inaccurate, outdated, or incomplete personal data.
• Right to Grievance Redressal: Register grievances regarding data processing with our designated Grievance Officer.
